Frequently Asked Questions

Leasing copiers and printers provides you with a manageable monthly payment per month during the equipment’s life cycle.  Leasing allows you to obtain equipment with no up front capital outlay.  The $1.00 buyout lease allows you to make payments over time and at the end of the lease you will own the equipment.  The FMV (fair market value) lease allows you to make a lower monthly payment per month, but you do not own the equipment at the end of the lease term.

While the majority of our clients choose to lease their devices, we do offer direct purchase as well as multiple lease term options.

Whether you’re purchasing a copier or printer outright or starting a new copier or printer lease, we always include your delivery, installation and user training at no additional cost.

A maintenance contract is an agreement between you and your vendor which states what services your vendor will provide to keep your copiers and printers running reliably during their life cycle.  Typically, a maintenance contract will be expressed as a cpc (cost per copy), cpi (cost per image), or cpp (cost per page) contract.  All three terms are the same.  This simply means you will be charged per page printed.  There will be a separate price for each color page and a separate price for each black and white page.  Maintenance contracts usually include all supplies, parts, and labor.  The agreements typically exclude staples and paper.

It is important to understand that a copier or printer maintenance contract is not required.  Regardless of what you have been told, maintenance contracts are absolutely optional.  However, we highly recommend a maintenance contract simply because copiers require periodic inspections, cleanings, and parts replacement on scheduled intervals.  Financially, maintenance contracts will typically save you money.

One more important note regarding maintenance.  If you choose to lease your copier or printer, never include maintenance in the leasing agreement.  Please reach out to us as to why?

Service is critical during the lifecycle of all copiers and printers.  Copiers and printers have hundreds of moving parts and they will periodically need cleaning and/or replacement.  We pride ourselves on an average 4 hour response time when your copier or printer needs attention in the greater Colorado Springs or Pueblo areas.  Our technical department accumulates over 500 additional training hours per year so they keep up with the latest manufacturer’s certifications.

Do you ever have to wait for supplies or parts?  Since we are local and we stock parts and supplies locally, we can get your copier or printer back up and running quickly.

Like many companies, scanning is a critical day to day operation.  If your scanner stops working due to a mechanical issue, the problem would be covered under your maintenance contract.

If the problem is due to a IT network change or network setting, first call your IT staff.  We offer a separate IT related maintenance contract that covers network scanning and network printing related issues as it pertains to your equipment.  If you do not have an IT staff, we highly recommend adding a network print and network scan maintenance contract to your equipment.  IT related calls can be expensive, and having IT related coverage on your equipment will bring peace of mind.  More importantly, we can typically troubleshoot and fix your network related scanning and printing issues remotely.

There are just a handful of global copier and printer manufacturer’s.  Interestingly enough, most of these manufacturers utilize parts and components from the same suppliers.  In our opinion, Kyocera and Konica Minolta are two of the leading manufacturer’s in the world.  From both a reliability and quality perspective, these are the brands we recommend the most.  At the end of the day, it is really all about your service provider.  If your service provider is prompt, reliable, and factory certified, your equipment will provide many years of faithful service.

We welcome the opportunity to offer you the best pricing and will do everything within our power to provide you with a competitive quote. This includes taking the pricing to our copier manufacturers when necessary, to see if they can offer any additional discounts or alternatives. In short, yes.  We offer a Price Match Guarantee, however, we’ll need to have the competitive quote in writing to confirm that the solutions are equivalent models and configuration. Additionally, we will want to evaluate the lease terms and conditions.  In other words, an “apple to apples” comparison.  Please be cautious about signing any lease.  Please read the terms and conditions thoroughly.  Some dealers will escalate your lease payment annually.  You do not want to sign a lease agreement with an annual escalation!  These types of leases will cost your organization thousands of dollars in additional expenditures that are not necessary.

Our award-winning installation team can generally complete installation within 1-2 business days of receiving the signed purchase documents if the equipment is in stock. If the equipment is special order, it can take 7-10 business days.

This time frame includes delivery, set up, networking, software integration, any initial training requested by those users on-site during installation and removal of the previous copy machines.

We will help you navigate any current leases to determine the specifics of the agreements to plan for your currently leased devices to be shipped back to the leasing company.  If you own your existing equipment, we can remove the equipment and recycle your old equipment.

We make ordering supplies easy! You can either call us or we you can utilize the customer portal.  The customer portal provides a unique login id where you can order supplies for specific machines as well as review invoices and service history.  When calling in your order, please have the specific equipment ID number listed on the front of the equipment.

Meter readings are automated through our meter read collection tool.  Every month your equipment will report the meter read(s) to us automatically.  No more emails or phone calls to report meter reads!
